Introduction
ℹ️ Clearances refers to a concept of legality. There are no levels here, either we have authorization or we do not.
More specifically, authorization is an official permission or recognition that allows a person to:
perform an activity
accomplish a specific task
or access certain information or areas.
It certifies that the individual has the skills, qualifications, or training required to carry out these tasks in accordance with applicable safety standards or regulations.
Examples of authorizations
Examples of authorizations
SST (First-aid workers)
CACES (Certificate of Aptitude for Safe Operation)
Fire Extinguisher Training
Electrical Accreditation
Configuration
In this tutorial, you will find all the steps to:
Create an authorization in the library
Edit/delete an authorization
Create an external trainer
Create a folder tree to organize attached files
ℹ️ In Mercateam,
An external trainer is:
A person who is not part of your company and who intervenes as a trainer
An entity / company that intervenes as a trainer
An attached folder / file is:
You can add attachments to your employees’ profiles.
To keep these files organized, you can create folders in which you can store attachments (authorizations, certifications, etc.) within employee profiles.
💡 Good Practices – Naming Guidelines
To ensure effective monitoring of certifications and to make priority management easier, here are the prefixes we recommend:
ON- for New Employee Onboarding
IA- for Internal Authorization
RT- for Regulatory Training (e.g.: CACES, etc.)
T- for Training (for example, internal training)
M- for Medical
S- for Awareness Training (Safety or Quality Flash sessions)
Daily usage and management
In this tutorial, you will find all the steps to:
View authorizations that are expiring or already expired
Add a authorization to an employee
Add a authorization to multiple employees
Track an external training session in Mercateam
Update a authorization following external training (follow-up outside Mercateam)
Archive a authorization
Go further – analyze, search, and manage authorization
ℹ️ Why is it essential to track and keep these certifications up to date?
1. Legal Compliance
The employer is required to ensure the safety and protect the physical health of employees. This includes providing appropriate safety training, risk prevention, and training for the use of certain equipment.
2. Employer Responsibility
In the event of an accident, the absence of valid training or certification may incur the employer’s criminal liability.
3. Industrial Performance
Properly trained staff reduce downtime, improve execution quality, and limit costly errors. This leads to greater operational reliability.
