Context
When content is modified on Mercateam, you have the option to share it with the relevant collaborators so they can review it.
This article explains how to manage the acknowledgment of this content by your collaborators.
How to know who has viewed the new version of a content and who hasn't?
1 - From the dashboard
From the dashboard, by clicking on the green "Contents to consult" widget:
You can see the details for each communicated content, including the number of collaborators who have viewed or not viewed the new version of the content:
To refine the management of content views, you have the option to filter your search by sector(s) or team(s).
2 - From the content
You can find the details of your content’s views directly from the content itself by clicking on the three dots at the top right:
Then click on "consultations details":
You will find two tabs:
Have viewed
Have not viewed
The viewing details from your content are displayed in connection with the filters applied on your dashboard.
If your dashboard is not filtered by sector or team, you will be able to see all collaborators.
If your dashboard is filtered by sector or team, you will only see the relevant collaborators in the viewing details (for example, in the screenshot above where the viewing details are filtered by the PARFUMS team).
Mass certify the acknowledgment of content by multiple collaborators
If you verbally inform multiple collaborators about the creation or modification of content, you can confirm their acknowledgment all at once in Mercateam.
WARNING – Bulk confirmation of content acknowledgment is not possible if a signature is required to validate the content (specific Mercateam setting).
You do have the option to validate the content “one by one,” but a signature will be requested each time.
1 - From the dashboard
Click on:
the "Contents to consult" widget on your dashboard
the three dots at the end of the line
"Consultations details"
Go to the "Have not viewed" tab => bulk confirm the acknowledgment of content by multiple collaborators.
To validate only one collaborator, you can click on the pencil icon on the right and certify the collaborator’s acknowledgment of the content:
To validate multiple collaborators, check them directly to certify the acknowledgment in bulk:
Signature not required in our example. If you want your collaborators to sign each acknowledgment of content (for communications of new versions and in training), please contact your Mercateam representative.
2 - From the content
Go to the relevant content, then to the "Have not viewed" tab in the viewing details (see the first part of the article).
The process is the same as if you were using the dashboard. You have the option to certify the acknowledgment of the content for a single collaborator or check several at once to validate the content for all the concerned collaborators in one go.
