Why feed a mass load on your plannings ?
To get the most out of Mercateam, and to facilitate your planning work, you may need to enter the number of people required for each workstation, sub-workstation and shift in your team (click [here] to learn more about the concept of workload).
This has several benefits :
The load/assignment delta indicators will be more precise, and will help you optimize your planning by knowing directly how many people are missing on each shift.
Your display will be more precise, with closed shifts directly identified.
If you use automatic scheduling, the results will be all the more precise !
We will now see how to enter this workload in bulk to save you time.
How to feed mass load on your plannings ?
Prerequisites
Have access to the Export and Import features of Mercateam
Know the workload of the workstations, sub-workstations and shifts you wish to modify
STEP 1 - Export the forecast workload for the team and weeks concerned
"Export" Menu
Section "Extract employee hours and absences"
Select the weeks and the team(s) you wish to import/modify the workload for.
Click on "Export"
You will receive an Excel file with several tabs. The tab we are interested in is called "WorkCapacities":
STEP 2 - Modify the export file by entering the desired load
To ensure the workload import works correctly => directly from the downloaded file, make the following changes :
Go to the 'WorkCapacities' tab, rename it 'Workload'.
Delete the 'Internal Code' column
Filter the columns and enter the workload for each workstation, sub-workstation, shift and day.
Example of the downloaded file after modifications :
All positions on the night shift have been closed (workload set to 0).
A workload of 2 has been added to the sub-position "Engine-gearbox marriage."
Weekends have been closed (workload set to 0).
Make sure to save it !
STEP 3 - Import the modified file
"Import" Menu
"WORKLOAD" Tab
Click on "GO DIRECTLY TO IMPORT" (no need to download the template here, you will use the file you filled in during steps 1 & 2).
Select the file you just modified
Click on "NEXT"
Check that everything appears correct with the displayed data
Click on "IMPORT"
Your workload will be automatically updated !
ATTENTION
We recommend not importing files with more than 10,000 rows, as the file will be too large. If you find yourself in this situation, you can "split it in half" and perform the import in two steps.
Once you go to your schedule, you will see that the workload for the "Afternoon shift" is set to 2 for the "Engine-gearbox marriage" position, 0 for the weekends, and 1 for the other positions (as indicated in the example file from steps 1 to 3).
